Hi,

Is there a way to filter what records are updated with the Link & Load feature?

In my case… I was using Link & Load to update one sheet from another, each time I made a change by using Link & Load via an action button. I have however changed it since, so now I am using the Update Values on Another Sheet feature, instead to do the same thing, that way the Action Button is instead, much better now, i.e. on the sheet where I will be making changes. However, I noticed that if I was to go-back to using Link & Load, but without the need for an Action Button, by instead, having the link & Load feature set to automatically update the values, that would simplify the process significantly, as it would no longer be necessary for me or anyone else to be using any Action Button to update values on another sheet. However, also, again, I can only rightly update “the ACTIVE records”, so I will not actually be able to revert to using the Link & Load automatically, as I have stated, it only works on “äll records” and cannot be first filtered.

Please don’t get me wrong here, the action button works, but getting rid of it in, this instance is, I have to say, in my case, would be a considerably significant change, and I also feel in my case I would rather not ask users to use an action button to update values “on another sheet” in the first place, even though I would happily do it myself.

Thanks for sharing your question! Just want to make sure we’re on the same page before pointing you in the right direction.

Would your use case be something like this: you have an Orders sheet linked to a Products sheet, and when product details are updated, you only want those changes pushed to active/in-progress orders, not to older or closed ones?

If that sounds right, here’s what we’d suggest:

Since Update Values on Another Sheet is already working for you, you might not need to switch approaches at all — you can set it to “Automatically run when saving” in the Advanced Settings, so it triggers automatically whenever a record is saved, no action button needed. You can find this option here: Update Value on Another Sheet

Just a heads-up: each sheet supports only one automatic Update Values on Another Sheet rule, so please keep that in mind when setting it up.

If this doesn’t quite cover your case, another option would be a custom JavaScript Workflow, which gives you full control over which records get updated. Do note that this requires some programming background, and Ragic does not provide JavaScript writing services. That said, if you run into specific errors while testing, feel free to write in to support@ragic.com with your sheet URL and a description of the issue, and our technical team will be happy to help with troubleshooting.

Thank for you most diligent of responses! Seems you have brought to my attention, the right way to go about doing this!

However, I had one concern, and it is the fact that after the action is executed Ragic automatically populates a system generated field at the bottom of the form page with the execution date and time, and this field needs to be cleared before the action can be executed again, at least that is how it is when done manually…

Ok, I’ve now tested it, and it seems that I don’t have to clear the execution date and time from the field anymore.

As this has apparently now changed, so manually clearing this field is only necessary if the Update Values on Another Sheets was added before 2017/06/01. As per… Update Value on Another Sheet
