Automatically set editing user as an entry owner and autopopulate fields

Hi, i have this custom workflow that i can’t make work, would anyone help?

Details:

  1. Entry is created via API, API user is only for creating entries and there is no real person behind it.
  2. There are multiple sales persons that can later take over this entry and thus become entry managers.
  3. I want to make this user assigning automated without actually selecting user in user selection field.
  4. Later this has to autopopulate user data into link and load fields (phone, email, title, name).

Problem is, that entries usually do not require any changes or saving, and users interact by reviewing info and pressing certain action buttons, upon which data is automatically processed and sent to other systems.

How can i make this work?

Also, at what point should the user assignment and related data population occur? Should this happen automatically upon entry creation via the API, or only after a salesperson takes an action (such as pressing an action button)?

Just to confirm, is your goal that entries will mainly be reviewed or processed through action buttons—meaning manual editing or saving is not part of the standard workflow?
